Chowan University’s Group Visitation Guidelines and Procedures
Chowan University welcome group visits to learn more about the University! Experts agree the campus visit is one of the most important factors in determining what college is the best fit for you. When planning your visit keep in mind the following dates may not be the best time to get the full Chowan experience:
Late August/Early September - Check-in
Mid-October - Fall Break
Early March - Spring Break
Early May - Commencement
The University will be closed for all major holidays and holiday weekends. The University is closed the first Monday of spring break (in March) as noted on the Academic Calendar. Other dates may be unavailable due to scheduled University events which can be found in the Academic Calendar at chowan.edu/academics.
Tips for Successfully Registering a Group
The full names, email addresses, and role of each Chaperone in your group will be needed to confirm your group’s visit.
Cell phone numbers for Chaperones will also be needed, so please gather this information in advance and have it handy when you register. If someone other than you is registering your group, be sure they have all this information.
Register all Students and all Chaperones who will attend with your group—this is required as it provides us with required university documentation of our program participants.
Sample Agenda for Group Visit at Chowan University
10:00 a.m. - Arrival
10:15 a.m. - Welcome/Opening Remarks (In order to ensure that students can participate in all planned activities, we will begin promptly at 10:15 AM; please plan ahead for traffic and inclement weather)
10:45 a.m. - Campus tour - Groups that are not comprised of 11th and 12th graders and groups of 11th and 12th graders that are larger than 20 will be unable to see a residence hall.
11:45 a.m. - Lunch (or if not having lunch on campus, 11:45 a.m. academic activity).
12:45 p.m. - Depart lunch for academic Activity
1:00 p.m. - Academic Activity
2:00 p.m. - Departure
*The above schedule is subject to change based on your group’s needs, the size of the group, availability of personnel, etc.
Note: Your day will end at 12:30 p.m. (if your group does not stay for lunch) or; your day will end at about 2:00 p.m. if your group stays for lunch.
Please carefully read and adhere to the event requirements below regarding chaperone/student ratios and general expectations of chaperones and students while visiting Chowan University.
Your group must have one Chaperone for every five participants ages 4 to 8
Your group must have one Chaperone for every ten participants ages 9 to 14
Your group must have one Chaperone for every twenty participants ages 15 to 17
Chaperones must stay with their respective groups at all times
You must bring one compiled list of emergency contact names and phone numbers with information for each student in your group.
Chaperones are solely responsible for students in their respective groups
Each Student and Chaperone in your group must correctly complete the appropriate CU Liability Release & Photography Consent or CU Media Consent forms—please see and use the attached forms as appropriate.
The completed consent forms will be collected on the day of the event during registration/check-in.
Prior to your arrival, please carefully review all consent forms to confirm that they have been thoroughly completed for each person in your group, and to verify parent/guardian signatures.
Only Students complete the CU Liability Release and Photography Release form (the attached file is two pages, be sure to scroll down).
Only Chaperones complete the Chaperone Media Consent form.
Lunch is available to you via our cafeteria-style dining hall and is optional; the cost is $3 per person for each person in your group. A variety of food options are buffet style and accommodate most dietary needs/restrictions. We are not able to accommodate a group larger than 75 for lunch. There may be dates when we are not able to offer lunch due prior reservations or closings.
If your group will eat lunch at the campus dining hall; Please bring one check for your group (made out to Chowan University) on the date of the event, or bring the total cash amount for your entire group on the date of the event.
If your group will have lunch at the campus dining hall and an invoice for lunch is needed PRIOR to the event in order to get a check from your school; please contact Chowan University Admissions at least one week in advance at: 252-398-6230 or email@example.com. Otherwise, when you pay for your group’s lunch on the day of the event, a receipt will be provided for your payment. Please note that Chowan University does not provide refunds for checks written in excess of the amount needed to cover the cost of your group’s lunch.
